Position Summary: We are looking for an organized and detail-oriented Administrative Assistant to join our team and help manage our financial, regulatory, and grant reporting needs. Supported by funding from the U.S. Department of Energy (DOE), we’re actively expanding our impact through additional grant applications with agencies like the U.S. Department of Transportation (DOT), the Department of Agriculture (USDA), the Environmental Protection Agency (EPA), and various state-funded programs. The Administrative Assistant will support our team with essential administrative tasks to keep TerraCity’s operations efficient and compliant. This role is fully remote, offering flexible work hours to fit your schedule.
Key Responsibilities:

Bookkeeping: Maintain accurate records of financial transactions, organize invoices, running payroll, and manage expense tracking.

Grant Reporting: Assist in managing grant reports, track financial expenditures, and monitor deadlines for deliverables.

Policy & Procedures: Tracking policy and procedure across various grant programs and awards.

Grant Proposal Preparation: Provide administrative support for grant proposals, including document preparation and organization.

Regulatory Compliance: Help ensure compliance with state and federal regulations, including tax filings, annual reports, and other required documentation.
Qualifications:

Proven experience in administrative support, bookkeeping, or a related role.

Familiarity with grant reporting or willingness to learn grant-related processes.

Strong organizational skills and attention to detail.

Ability to work independently and manage multiple tasks effectively.

Proficiency in accounting software (such as QuickBooks) and Microsoft Office Suite (Excel, Word, etc.).

Understanding of regulatory requirements for nonprofit or government entities is a plus.
